We agree the vehicle categories your property actually uses — chauffeur-driven luxury sedans for individual guests, premium SUVs where luggage or party size calls for them — and settle commercial terms in writing before the first movement. After that, a booking is a guest name, a time or a flight number, a pick-up point and a destination, sent by e-mail or WhatsApp and acknowledged by a person.
Your standing instructions are held on file and applied to every job: which entrance the car uses, whether the chauffeur carries a name board or waits discreetly without one, how the desk wants VIP and returning guests flagged, and who is told when a movement changes. Chauffeurs new to the account are briefed on the property's arrival routine before they work it.
Flight Tracking and Where the Chauffeur Waits
Every airport pick-up is tracked from the inbound aircraft's departure, not from the timetable the guest gave you at check-in. At Dubai International the chauffeur waits inside the public arrivals hall of the correct terminal — Terminal 3 for Emirates, Terminal 1 for most other international carriers, Terminal 2 on the Al Quds Street side — standing at the exit from the customs channel with a printed name board, and stays there until the guest appears. Not circling the ramp, not in the car park, not telephoning from the kerb. The chauffeur then walks the guest and the luggage to the vehicle.
Zayed International Airport in Abu Dhabi is a single passenger terminal, and the meeting position is the arrivals hall beyond the baggage belts. Bookings and problems go to the same place: an operations desk staffed around the clock, with offices in both emirates rather than one dispatcher covering Abu Dhabi from Dubai. Your account has a named coordinator during office hours and a duty controller outside them, and both work from the same dispatch board.
That matters at the point where the alternatives fail. If a guest is standing under your porte-cochère and the car is not there, your team calls one number and reaches somebody who can see every vehicle on the road and move the nearest one. Presentation, Chauffeur Standards and Changes at the Door
Vehicles are current models, cleaned and valeted before each movement and presented at the door at the time given rather than shortly after it. Chauffeurs are permanent uniformed staff in dark suit and tie, carrying identification, speaking English and Arabic; they open doors, handle luggage themselves and do not begin a conversation a guest has not started.
Guests change their minds at the door, and the chauffeur takes the instruction from the guest instead of sending them back to your desk. A stop added in DIFC on the way to the airport, a decision to hold the car through the afternoon across Downtown and Jumeirah, a switch from a departure to a meeting in Business Bay — the chauffeur confirms it with operations, the movement is amended, and your desk is told what changed rather than asked to approve it in front of the guest. Extensions, waiting and no-shows are recorded against the original booking and carry the same reference through to billing.
Billing to the Room or to the Hotel Account
A movement can be posted to the guest's folio with the reference your property management system needs, or charged to the hotel account, and the same guest can be handled either way on different days. Nothing is settled with the chauffeur unless your property specifically wants a direct-settlement arrangement, and no card is produced in the lobby.
Account clients receive one consolidated monthly statement, itemised by date, guest name, journey, vehicle and your own booking reference, so the desk reconciles a month against its own records in a single pass instead of chasing loose receipts. Invoices are VAT compliant and issued against a purchase order where your finance department requires one.
A quoted movement is inclusive. Fuel, Salik in Dubai and Darb in Abu Dhabi, airport parking, the agreed waiting allowance and the chauffeur's time all sit inside the quotation agreed with your desk, so there is no supplementary line to explain to a guest or to a financial controller afterwards. Terms are confirmed in writing before the first booking and hold for the term of the arrangement.
